Insurance, Cancellation & Rescheduling

The purpose of a retreat deposit is to reserve specific dates for you and for your group.  Once the deposit has been received we no longer offer these dates to anyone.  If other prospective clients ask for your dates, we inform them that the dates are not available.

Insurance

Gymea Eco Retreat & Spa holds public liability insurance covering the property. This does not extend to cover the retreat host, their program, participants, or any activities conducted during the retreat.

Retreat hosts are required to hold their own public liability insurance with a minimum coverage of $10 million, current and valid for the dates of the retreat. A copy of the certificate of currency must be provided to Gymea no later than 7 days prior to the retreat start date.

How to arrange cover:  Single-event public liability insurance is straightforward to obtain in Australia and can often be arranged online in minutes. Recommended starting points include BizCover (bizcover.com.au), Marsh Australia (au.marsh.com), and your industry association if you are a member. Search “retreat public liability insurance Australia” for a range of options.

Indicative cost guide:  For a small residential wellness retreat with up to 40 participants, public liability insurance typically costs between $80 and $300 depending on the insurer, coverage limit, duration, and nature of the program. Higher-risk activities such as breathwork, trauma-informed work, or somatic therapies may attract higher premiums. Gymea recommends obtaining at least two quotes before purchasing.

Gymea accepts no liability for personal injury, loss of property, or any other loss sustained by the host, participants, or guests during the retreat.

Cancellation & Rescheduling Policy

Gymea operates as an exclusive-use residential retreat venue. In the event that you wish to cancel or reschedule your retreat, we will do our best to fill those dates with another retreat, but this may prove difficult, if the time between cancellation and your retreat date is too close.

As dates are held solely for your retreat and cannot readily be re-let at short notice, the following cancellation policy applies:

More than 10 months before your retreat	Full refund or credit of deposit
6–10 months before your retreat	50% refund or credit — only where dates are rebooked by another host
Less than 6 months before your retreat	Deposit is non-refundable

 

Please note:  As an alternative to forfeiture, Gymea may at its sole discretion offer a credit toward a future available booking date. This will be considered on a case-by-case basis and is not guaranteed.

Force Majeure

If Gymea is required to cancel a retreat due to circumstances beyond its reasonable control — including but not limited to extreme weather, bushfire or fire risk declarations, power outage, natural disaster, or government directive — a full credit or refund of monies paid will be offered to the host.

Fire restrictions may affect availability of the ceremonial fire circle. This is governed by Rural Fire Service guidance and is not grounds for cancellation, discount, or reduction in the booking fee. Please discuss fire ceremony plans with Gymea well in advance.
